Yes, please use the amendment button in order to keep the same Purchase Order ID.

Yes, choose the Purchase Order that you want to copy from the “View” section and press the copy button on the right side of the Purchase Order box.

The administrator might have restricted the visibility of certain Purchase Orders for your user account. That’s why you might see only your own POs or the ones from your own department. In other cases, you might have chosen the wrong filter, where your PO is not reflected.

Yes, select the Purchase Order you want to print and select the “open as PDF” button on the right side of the Purchase Order box. Once you see the PDF, you can save and print the Purchase Order. You are also able to print many POs in a batch print.

Yes, but only one person can make an approval for each level. Only the fastest user can execute the approval right, the other assigned users will lose their approval right at that moment. There is one exception if you choose “Approval by department only”.

Normally, only one person can approve for a certain level in the purchasing software. However, if you work with different departments you might want that each department gets its own approval by their department representatives, even though all that happens on the same approval level. In that case, choose the option “approval by department only”. In this instance, many head of departments can approve only their own department. Yes. If this user has approval rights, make sure you install a new user for that approval level first, and then delete the other user.

Yes, have the admin navigate to Admin > Approval Levels > check the option ‘Hide P.O#’ on all levels. Once the PO has reached final approval, the PO number will be displayed.

First remove the user from the approval chain. Then you can delete the user.

Yes, click on your profile icon in the top right-hand corner once logged into a PO book and navigate to Account Settings. Once in account settings, navigate to Settings on the left-hand side and here you can adjust your email notification settings.

Yes, have the Admin navigate to Admin > Suppliers > select the checkbox for ‘Email final approved Purchase Orders to all new suppliers automatically.’ If checked, new suppliers will be enabled for automatically receiving final approved purchased orders by email.

For existing Suppliers, under Admin > Suppliers click on the pencil icon next to the supplier in question and check the option ‘Automatic Email Notification’

Yes, navigate to Admin > PO Settings and check the option ‘Lock Purchase Orders after final approval (no amendmend possible)’

If checked and a PO needs to be revised, the PO will need to be voided and a new PO will need to be created. This can be done by using the option ‘Create new Purchase Order based on this one’.

Yes, navigate to Admin > PDF Settings > Send additional Custom PDF Files and enter your email in the ‘Add recipient’ field.

Yes, the admin of the PO book will need to fill out the import file, this can be found within the PO book under Admin > Import.
